This Privacy Policy explains how Arctic Lab (“Arctic Lab”, “we”, “us” or “our”) collects, uses, shares and protects your personal data when you use our platform, website and related services (the “Platform”). We process personal data in accordance with the EU General Data Protection Regulation (GDPR) and applicable local laws.

1. Data Controller

2. Data We Collect

  • Account data: first and last name, email address, phone number, date of birth, and password (stored in hashed form).
  • Profile data: role (User, Instructor, Mentor), preferred language, and any details you choose to add.
  • Transaction data: Products purchased, booking history and billing details. Card details are handled by our payment providers and are not stored by Arctic Lab.
  • Usage data: device, browser, IP address, and interactions with the Platform, collected via cookies and similar technologies.
  • Learning data:content you submit to AI-assisted features such as homework help and Q&A.

3. How and Why We Use Your Data

  • To create and manage your account and provide the Platform (performance of a contract).
  • To process payments and remit payouts to Instructors and Mentors (performance of a contract).
  • To operate AI-assisted learning features (performance of a contract and our legitimate interest in improving the service).
  • To send service and, where you have opted in, marketing communications (consent or legitimate interest).
  • To ensure security, prevent fraud and comply with legal obligations.

4. Legal Bases

We rely on the following legal bases under the GDPR: performance of a contract, your consent (which you can withdraw at any time), compliance with a legal obligation, and our legitimate interests in operating and improving the Platform.

5. Sharing Your Data

We share personal data only as needed to provide the Platform: with Instructors or Mentors for Products you book; with payment providers to process transactions; and with hosting, analytics and communication providers acting as our processors. We do not sell your personal data. Where AI features are powered by third-party providers, data is shared with them solely to deliver the requested feature.

6. International Transfers

Where personal data is transferred outside the European Economic Area, we put in place appropriate safeguards such as the European Commission’s Standard Contractual Clauses.

7. Data Retention

We retain personal data for as long as your account is active and as needed to provide the Platform, and thereafter only as required to comply with legal, accounting or reporting obligations.

8. Your Rights

Subject to applicable law, you have the right to:

  • access the personal data we hold about you;
  • request correction of inaccurate data;
  • request erasure of your data;
  • restrict or object to certain processing;
  • request portability of your data;
  • withdraw consent at any time; and
  • lodge a complaint with your local data protection authority (in Estonia, the Andmekaitse Inspektsioon).

9. Cookies

We use cookies and similar technologies to keep you signed in, remember preferences, and understand how the Platform is used. You can manage cookies through your browser settings; disabling some cookies may affect Platform functionality.

10. Security

We implement appropriate technical and organisational measures to protect personal data against unauthorised access, loss or misuse. No method of transmission or storage is fully secure, and we cannot guarantee absolute security.

11. Children

The Platform is not directed to children below the age of digital consent in their jurisdiction. We do not knowingly collect their personal data.

12. Changes to This Policy

We may update this Privacy Policy from time to time. Material changes will be communicated through the Platform or by email, and the “Last updated” date above will be revised.
